The revised clarification management — Timeline, structured response review, reason documentation, and reporting.

The New Clarification Management
Clarifications and their automation via workflows already exist in Bilendo. With this release, we are primarily revising the user interface and the collaboration model: A clarification is now maintained as a continuous timeline, responses are reviewed in a structured manner, and each clarification clearly shows what the next step is and who is responsible for it. This is complemented by documentation of the reason why a line item is open, corresponding reporting, and several optimizations in the workflows.
What's New
Clarification Timeline
Each clarification has a chronological timeline that consolidates all events in a sequence: responses, escalations, sent reminders, reminder stops, payments, and attached documents. The model is based on a GitHub pull request — the entire clarification can be read as a traceable sequence instead of being spread across multiple views.
Accept and Reject Responses
Responses to a clarification are now reviewed in a structured manner: The reporter can accept or reject a submitted response. When rejecting, the next action goes back to the clarification recipient, so it is always clear whether a clarification reason has been confirmed or is still pending.
Conflict Resolution
When multiple participants submit answers simultaneously, a defined state of "conflicting answers" is created. The reporter resolves it by accepting one answer and rejecting the others — ensuring exactly one confirmed reason remains at the end.
"Next Action" and "Next Action For"
Every active clarification shows a single, highlighted next action — the one thing that should happen next (e.g., answer pending, answer review pending, resolve clarification) — as well as for whom this action is due. This makes inbox prioritization immediately visible.
Comments
Each clarification has an internal comment thread for team coordination — separate from answers to the customer.
Pull-In Related Documents
Additional open documents from a customer can be directly pulled in to the clarification, allowing related line items to be processed together instead of tracked individually.
Documentation of Reason & Reporting
For each clarification, the reason why an item remains open is documented — as an accepted answer (Reason). This new Reason serves as the basis for its own Reporting: Evaluations show which reasons dominate the clarification volume, with quantity and amount per reason.
Optimizations in Workflows
The existing workflows have been extended at several points, including:
AND/OR logic in defining which items a workflow captures (e.g., difference reasons and document type rules combined or alternatively).
Dynamic manager roles as recipients of a clarification — responsibilities and escalation targets can be derived from team or department management instead of being hardcoded.
What This Means for Your Team
For Finance and Accounts Receivable teams, the benefit lies in traceability and prioritization: A clarification can be read as a complete timeline, the "next action" shows without searching what needs to be done and by whom, and structured review of responses along with conflict resolution ensures a definitive result. The documented Reason moreover makes it possible for the first time to systematically evaluate why claims remain open — a foundation for targeted process improvements.

View Blocked Journal Entries inside Reminder Drafts
We’ve added a new tab to your reminder drafts that displays all of a customer’s journal entries currently blocked by an active dunning stop.
Drafts only: To keep things clean, this tab is exclusively visible while you are reviewing a draft reminder—it will not appear on reminders that have already been sent.
Smart scoping: The list automatically adapts to the reminder's specific dunning group, or seamlessly falls back to company-level dunning templates if no group is set.
Why It Matters to You: Accounts Receivable clerks now get the complete picture during the review process. Instead of only seeing what is included in a reminder, you can instantly see what was excluded and why. This makes it much easier to assess the completeness of a reminder and ensures your team is perfectly prepared for informed, confident conversations with customers about outstanding items.
Interface Templates: Role-Based Tab Customization for Customer Pages
We are excited to introduce the foundation of our UI customization journey: the new "Interface Templates" section within your company settings.
Role-Specific Layouts: Admins can now define a default tab order for the Customer detail page, tailored specifically to different user roles.
Enforcement Control: A new toggle allows admins to lock the layout. When turned on, the tab order is standardized for the team, and users will see a message stating, "Tab order is managed by your admin."
Smooth Migration: To ensure zero disruption, every existing account has been pre-populated with a template matching their current configuration. Enforcement is off by default, meaning nothing changes for your end users until you decide to configure it.
Why It Matters to You: Standardization made simple. Admins can now align the platform’s user experience with internal company workflows. New team members hit the ground running with the company’s preferred layout from day one, eliminating the need to manually rearrange tabs or guess where key information lives.

Mention Colleagues Directly with @-Mentions
We’ve made teamwork within the platform much more intuitive. You can now @-mention your colleagues directly in comments across customers, journal entries (JEs), sales orders, Limit suggestions and clarifications.
Instant Notifications: Mentioned users will immediately receive an in-app notification complete with a deep link that takes them straight to the relevant comment.
Opt-in Email Alerts: Want an extra heads-up? Users can easily enable additional email notifications via a simple checkbox in their personal User Settings (Notifications).
Privacy-First Design: The mention dropdown is strictly permission-filtered. You will only see and be able to tag colleagues who already have read access to that specific object.
Smart Edit Logic: If you need to fix a typo and re-save a comment, our built-in deduplication ensures that already-notified users won’t be spammed with duplicate alerts.
Why It Matters to You: Bring the conversation to the data. Your teams can now flag specific issues or loop in colleagues right within the context of a customer profile or open case—no need to leave Bilendo or switch to external chat tools. This significantly accelerates internal feedback loops and ensures all communication remains auditable and attached to the right record.

Smarter Document Uploads: Clear File Format Hints per Delivery Channel
To make your document dispatch smoother, our upload interface now dynamically adapts to your selected delivery channel and displays proactive requirements:
Postal Delivery: A clear hint is now displayed right below the upload area, informing you that only DIN A4 PDFs are accepted (a technical requirement for our printing centers).
Email Delivery: This channel remains fully flexible—accepting all standard file types without any restrictive messaging.
Dual-Channel Routing: When both channels are active simultaneously, the UI clearly maps the accepted formats to their respective channels. This makes it instantly clear why a specific file might be valid for an email but rejected for a physical letter.

New Status Labels on Your Customer Dashboard
We’ve made tracking credit cover requests even easier. A new visual label will now appear right next to the customer number in both the customer detail (customer#show) and list (customer#index) views whenever one or more credit cover requests are in an "open" state.
Pro-tip: Simply hover over the label to see a tooltip detailing exactly which provider the open request is currently pending with.
Why It Matters to You: Efficiency at a glance. Credit Managers and account teams can now spot pending coverage issues instantly without digging into sub-menus. This significantly reduces the risk of overlooking open requests and accelerates your daily workflow.
New Risk Alert: Warning X Days Before Security Expiry
We’ve added an extra layer of protection to your risk management. Alongside the existing "Security expired" alert, a second risk alert has been introduced: "Security expires in X days".
Customizable Threshold: This new alert fires before the actual expiry date, based on a configurable day threshold defined within your company-wide credit policy.
Why It Matters to You: Stay ahead of the clock. Credit Managers now get an early warning before a security expires, rather than finding out after the fact. This gives your teams a valuable head start to take action, renew agreements, and prevent coverage gaps before they ever happen.
New Risk Alert: Customizable Threshold for Expiring Credit Limits
We’ve upgraded our risk notification engine to better fit your internal workflows. The previously fixed alert "Credit limit expires within 7 days" is now fully configurable—allowing you to set the early-warning threshold to any number of days you require.
Seamless Transition: To ensure continuous protection, all existing alerts have been automatically migrated with the default threshold of 7 days. No system behavior changes unless you actively decide to adjust the timing.
Central Configuration: Admins can easily fine-tune this setting within the Risk Alert configurations of your company-wide Credit Policy.
Why It Matters to You: Your platform, your timeline. Different business models and customer relationships require different operational lead times. Whether your team needs a quick 5-day heads-up or a full 30-day window to initiate renewals and review accounts, you can now align your risk alerts perfectly with your internal billing and credit cycles.
New Business Unit Filter for Risk Alerts
We’ve added a "Business Unit" filter to the Risk Alerts dashboard, making it easier to segment and manage your risk data.
Smart Selection: The new filter features a multi-select dropdown with an integrated search bar, supporting all business units configured across your organizational structure.
Combined Power: It works seamlessly alongside all existing filters (such as "Status"), allowing you to refine your view with precision.
Why It Matters to You: Clarity and focus for complex setups. If your organization operates with multiple business units or regional branches, you can now instantly scope your risk alert view to what matters most to you. No more manual scanning through a master list—especially beneficial for larger accounts looking to streamline their daily workflows.
New Risk Integration: Coface ICON
We are thrilled to announce our brand-new integration with Coface ICON. You can now access four core financial intelligence products directly inside the platform: URBA360, Full Report, Snapshot Report, and Score Report.
Quick Setup: Admins can connect the services in just a few clicks under Settings → Risk Integration → Add → Coface ICON using your username, password, and API key.
Company-Wide Control: Users with access to settings can easily define which of the four Coface products are available for requests across the organization.
Continuous Monitoring & Risk Alerts: Continuous monitoring is natively included with URBA360 and is available as a separate add-on for the other three report types. To support this, we’ve introduced three new dynamic risk alerts: "New notification received", "Score changed", and "External limit changed".
Trigger Requests on the Fly: Requests can be pulled directly from the customer#show view via either the "Risk Management" tab or the Options → Request Credit Cover menu.
Why It Matters to You: Eliminate tool fatigue and manual cross-checks. Credit Managers can now pull rich Coface credit data instantly without ever leaving Bilendo. Even better, the automated monitoring triggers real-time alerts the moment key financial data changes, allowing your team to protect your cash flow proactively.

Tighter Risk Controls: Any Approval Policy Member Can Now Decline Credit Limits
We’ve enhanced the flexibility and safety of your approval workflows. Moving forward, any user included in an approval policy can initiate a decline on a credit limit suggestion—it is no longer restricted strictly to the primary assigned approver for that specific step.
Empowered Teams: Previously, non-selected policy members could only approve a suggestion, which left a gap in proactive risk intervention.
Full Access: The "Initiate decline" button is now visible and fully functional for all members tied to the active approval policy.
Why It Matters to You: Closing the loop on risk management. This update eliminates a logical bottleneck in your daily operations. If any member of your approval team spots an inappropriate or high-risk limit increase, they can now take immediate action to decline it, without having to wait for the primary assigned approver to log in and reject it.
Separate Sections for Securities and Credit Covers
We’ve reorganized your workspace for better clarity: Securities and Credit Covers are now displayed in two separate UI sections, rather than being bundled together under a single, generic "Securities" block.
Where to find it: This structural update applies to the customer detail sidebar (customer#show) as well as the credit limit suggestion page.
Purely Visual: This is a UI-only restructuring designed to boost clarity. Your underlying data, amounts, and configurations remain completely unchanged.
Why It Matters to You: Zero ambiguity. Your team can now instantly distinguish between internal collateral/securities and external credit covers at a glance. Eliminating the need to dig into individual line items reduces cognitive load and prevents confusion when evaluating available coverages during your approval workflows.
Smarter Credit Limit History: Toggle Between List and Graph Views
We’ve redesigned the credit limit history modal to give you a cleaner, more organized workspace. It now features two distinct tabs: "List" and "Graph".
List View by Default: The "List" tab is your new default view, opening automatically whenever you access the history log.
No More Scrolling: Each tab is dedicated strictly to its own content—meaning you no longer have to scroll past a large visual graph just to read the individual log entries below it.
Why It Matters to You: Efficiency tailored to your current task. Users who just need to quickly verify raw historical logs or specific dates get instant access without any visual clutter. Meanwhile, anyone looking for a visual trend overview can jump to the chart view with a single click. Less scrolling, faster insights.
Change History for Credit Applications
We’ve introduced a comprehensive audit and tracking system for credit applications. Moving forward, every single change made to a credit application field automatically generates a versioned snapshot (V1, V2, etc.), complete with the user's name and an exact timestamp.
New Header Controls: You will now find a dedicated version badge and a "History" button prominently displayed in the credit application header.
Visual Change Log: The history modal displays a full timeline of all versions using an intuitive, color-coded visual comparison (diff): orange for modified rows,
red strikethroughfor removed data, and green for newly added values.Instant Submitter Info: The name of the person who submitted the current active version is now visible directly within the main dashboard view.
Visibility: For ultimate visibility, you can also review this detailed change log directly inside the general credit limit history.
Why It Matters to You: Total transparency and compliance. Approvers can now track exactly who changed what throughout the entire approval workflow. No more guesswork or internal hunting when a credit application has been edited by multiple team members. The color-coded timeline lets you evaluate changes in seconds, making your risk assessment significantly faster and more secure.
New Blue Highlight for Credit Block Comments
We’ve introduced a small but powerful visual enhancement to your risk dashboard: The credit block comment field now turns blue whenever a comment is present.
The Difference: Previously, the field remained a uniform grey whether it was empty or filled, making it easy to miss that important notes had been left behind.
Why It Matters to You: Stop overlooking crucial context. Credit blocks happen for a reason, and the attached notes often hold the key to resolving them. The new blue highlight acts as an instant visual cue, making it immediately obvious to any user that there is active feedback or a specific justification attached to the block. This eliminates manual double-checking and ensures your team acts on the right information.
Euler ID Enabled for Allianz Trade Requests
We’ve added a powerful new identifier to our Allianz Trade integration: The Euler ID is now fully supported as an official identification option inside the Allianz Trade selection modal.
Dual Support: This update applies to both the "Request Credit Cover" and "Request Credit Information" workflows.
Perfectly Integrated: The Euler ID sits right alongside your existing identification methods (such as company master data), giving you maximum flexibility.

New "Sync Now" Button for Credit Covers
We’ve extended our manual refresh capabilities: The "Sync Now" button is now officially available for Credit Covers, bringing it in line with our existing credit information features.
Expanded Functionality: You can now manually trigger an immediate synchronization of credit cover data directly from the interface.
Instant Updates: There is no longer any need to wait around for the platform's next scheduled, automatic background sync.
New Comment Tab for Credit Limit Suggestions
We’ve added a dedicated space for teamwork right where your decisions happen. Starting from the very first approval step (immediately after validation), a new "Comment" tab is now available on the credit limit suggestion detail page.
Familiar Interactions: You can post comments, start discussion threads, and reply to colleagues using the exact same interaction patterns you are already used to.
Context-Specific Scope: Conversations are strictly tied to the specific limit suggestion. To keep your master files clean, these internal discussions will not appear on the general customer#show dashboard.
Fully Connected: Our recently launched @-mentions are fully supported here, allowing you to easily tag specific team members in your notes.
