Manual credit covers and credit information
Manual credit covers and credit information
Overview
Not every credit insurer and not every credit agency is connected to Bilendo directly. For these cases you record credit covers and credit information manually. Manual entries live in the same place as entries from connected providers: a manual credit cover counts toward the customer's insured amount, a manual credit information report is the current report of its provider, and both feed into the credit policy. Entries recorded by mistake can be archived.
Where to find it
Setup: Under Settings > Risk > Risk Integrations, create a provider of type Manual and give it a name, for example the name of your insurer. This name is shown as the provider everywhere. Switch on Credit Insurer (with at least one product type) for credit covers and Credit Information Provider for credit information. This needs the Risk Settings right with read and write.
On the customer: In the customer's Risk Management tab, the cards Credit Covers and External Credit Information show the entries. New entries are created through Options.
Overviews: In the main menu under Risk you find Credit Covers and Credit Information for all customers.
How it works
Recording a manual credit cover
Open the customer and choose Request Credit Cover under Options.
If several credit insurers are set up, switch to the tab of your manual provider. It first lists the customer's active credit covers and then the form New Credit Cover.
Fill in at least Granted Amount #1, Currency and Product Type. Optional fields include Start Date (not in the future), Granted Amount #1 expiry date, Deductible and Deductible Type, a Policy ID and a Conditional Amount with its own expiry date and condition.
Click Create.
A new active manual credit cover automatically ends the customer's previous active manual credit cover with the same product type.
Recording manual credit information
Open the customer and choose Request Credit Information under Options.
If several credit agencies are set up, switch to the tab of your manual provider. There you find the form New Credit Information.
Fill in Date of Information (not in the future) and Score. Optional are Recommended Credit Limit with its currency, External Customer Number, a Report PDF and, if set up, the Product Type.
Click Create.
The latest report of a provider is the customer's current credit information. You can correct a manual report later with the pencil icon Edit.
Ending a credit cover
When a manual credit cover has really expired or been cancelled, end it in its detail view with Cancel Cover. It then gets the status Expired with today as its expiry date, Bilendo sends the usual credit insurance notification, and the customer's credit policy is evaluated again.
Archiving entries recorded by mistake
If an entry was created by mistake, for example with the wrong manual provider or wrong values, archive it instead of ending it:
Credit cover: In the detail view of an active or expired manual credit cover, click Archive.
Credit information: In the detail view of the manual report, click the archive icon.
A dialog names the entry with provider, amount or score and date. Once you confirm:
The credit cover no longer counts toward the customer's insured amount. It gets the status Archived with date and user, not Expired. No expiry notification and no risk alert are sent.
The report is no longer the current credit information. The latest non-archived report of the same provider takes its place, or none. An archived report can no longer be edited.
The customer's credit policy is evaluated again, so credit limits and credit limit suggestions based on the wrong entry are corrected.
The customer's activity shows who archived the entry and when.
Settings and filters
Rights: To create, end and archive a manual credit cover, the role needs the Credit Covers right with Read and Write. The same applies to manual credit information with the Credit Information right. With Read, users see the entries but not the actions.
Status filter for credit covers: Active, Expired and Archived, also combined. The overview opens with Active.
Status filter for credit information: Active or Archived. Archived reports are shown only with this filter.
New: Archiving manual entries
Manual credit covers and credit information recorded by mistake can now be archived (see "Archiving entries recorded by mistake"). Until now a report could only be edited and a credit cover only ended, so the history showed an insurance that never existed.
Good to know
Archiving cannot be undone. If the entry was right after all, record it again.
If creating the wrong entry automatically ended an earlier credit cover, that cover stays ended when you archive the wrong entry. Record it again if needed.
Archiving is meant for mistakes. A cover that has really expired is ended with Cancel Cover, so the history shows it.
Credit covers and credit information from connected providers (for example Creditreform, Allianz Trade, Atradius, Coface) cannot be archived.
FAQ
What is the difference between "Cancel Cover" and "Archive"?
"Cancel Cover" ends a cover that existed: it is kept as expired, and Bilendo notifies as for any expiry. "Archive" removes an entry that should never have been created, without expiry and without notification.
Can I restore an archived credit cover or report?
No. Record the entry again if you need it.
Where do I find archived entries?
In the overviews Credit Covers and Credit Information under Risk, with the status filter set to Archived.
Why don't I see the "Archive" action?
The entry comes from a connected provider, it is already archived, or your role lacks the Credit Covers or Credit Information right with read and write.
Does my customer's credit limit change after archiving?
The credit policy is evaluated again. If the wrong entry affected a limit or a suggestion, that is corrected.
