Responding and Deciding for an Entire Group
If multiple clarifications belong to the same process, you can complete the response, review, closure, and restart for the entire group in one step. This page describes where the scope toggle appears, exactly what it does, and where its limits lie.
This page is for everyone who answers, reviews and closes clarifications. It describes the group actions in Clarification Management: one answer for several clarifications, resolving conflicting answers, closing and restarting with group scope, and managing the people involved.
When do the group options appear?
A group arises when several clarifications belong to a single case — typically a deduction or a delivery dispute affecting multiple invoices. Each clarification within the group remains its own case: its own status, its own deadline, its own assignee.
The scope switches described here only appear when a clarification has such siblings. For a standalone clarification, nothing changes about your usual workflow.
Your permissions remain unchanged. A group action only affects clarifications you would also be allowed to handle individually. The confirmation afterward will tell you plainly what was skipped.
One reply for the whole group
Above the reply form is the question "Reply applies to" with two options: This document and Entire group. The second option indicates in parentheses how many additional clarifications would be affected.
If you select Entire group, a notice shows you which group is involved and how many clarifications will receive the reply. Below that are the affected line items with number, journal entry, and amount — so you can see exactly what you're replying to before submitting.
You then fill out the form once: a reason, the optional additional details, and your text. When submitted, every affected clarification receives the same answer.
In detail, the following happens:
Already submitted or accepted answers for the remaining clarifications are rejected — otherwise, two contradictory answers would exist side by side.
For every affected clarification, your answer is created and immediately accepted.
If a clarification fails or you lack the required permission there, nothing is partially saved: the process is aborted and the clarification that caused the failure is named.
Resolving Contradictory Answers
If different answers were submitted within a group, first decide how far your decision should extend. There are three modes for this:
| Mode | Effect |
|---|---|
| This Document | Only the opened clarification is decided. The rest of the group remains untouched. |
| Entire Group | Your decision is applied to every clarification in the group. |
| Item by Item | Each clarification in the group is decided individually — listed in a table one below the other. |
Item by Item
This mode lists the group sorted by location, so similar items appear next to each other:
Conflict — identical-content answers: multiple answers are available for selection.
Already accepted, not closed: the answer is decided, but the closing step is missing.
Single answer for review: exactly one answer is awaiting your decision.
No answer yet: there's nothing to decide here yet, resolution is waiting on the recipient.
For each row, choose Accept, Reject, or No Decision — the latter option deliberately leaves the resolution open instead of deciding it for you. You can reset a choice you've already made back to neutral, as long as you haven't applied it yet.
Answers with identical content are marked as such: in most cases, these are two separate submissions of the same statement rather than a genuine alternative.
Before anything is written, the "You are applying these decisions" section summarizes what's about to happen. Only the button below it actually writes the changes.
Each round offers 25 resolutions for decision; more will appear once you've applied this batch. At most 200 members of a group are loaded.
Reject all and re-answer directly
If none of the submitted answers fit, reject all of them in one step and provide the correct answer right away. The rejected resolutions are then treated as unanswered again and appear in the corresponding views and filters.
Closing with group scope
Once a response has been accepted and no further response is outstanding, the clarification reports "Ready to Close". The card carries the same scope switch: This Item or Entire Group with the count behind it.
The button names what it does — for example, "Close 4 clarifications". Clarifications you're not allowed to close are skipped and counted in the feedback.
Reopening with Group Scope
The same switch applies to restarting a closed clarification. A clarification is only reopened if all three conditions are met:
It is closed.
Its restart limit has not yet been reached.
The associated item is still open — a settled item has nothing left to clarify.
Unlike responding, a group restart is not a joint transaction: each clarification starts on its own, with its own events, webhooks, and dunning stop consequences. What could not be restarted is reported individually; the rest remains started.
Managing Participants in a Clarification
Anyone who contributes to a clarification is listed as a participant — anyone who has responded, reviewed, commented, escalated, reopened, or attached a file. Under Manage Participants you can see the list and remove individual people again.
Reporters and assignees cannot be removed — they are involved via their role and would come back immediately.
Removal applies only to this one clarification, not to the other clarifications in the group.
Every removal is logged in the clarification's activity; additions remain silent, otherwise the timeline would be full of them.
Other Documents in This Group
The document card of a clarification shows an expandable "Other documents in this group" — you can see the other line items without switching views.
When Something Doesn't Work
| Message | Meaning |
|---|---|
| A clarification was skipped because you're not allowed to close it. | Your data access doesn't cover this clarification. The rest of the action was carried out. |
| The response from … has since been decided by someone else. | Someone was faster. Nothing was changed — reload the page and decide again. |
| This clarification can no longer be restarted. | It has already been restarted, has reached its limit, or the document is no longer open. |
