Auto-Start allows a workflow to automatically open clarifications. Daily, the routine runs through each active Auto-Start workflow, finds the eligible documents or deductions, and creates a clarification group (with one clarification per line item), grouped by customer.

Prerequisites

A workflow will only start automatically if Active and Auto-Start are both enabled. Auto-Start also requires a Reporter Source, a Processor Source and a Response Template, plus (depending on the topic) the authorization inputs below.

The Authorization Pipeline

A line item must pass all of the following filters to trigger a clarification.

1. Base State

2. Topic Scope

3. Organizational Scope

If set, the department, business unit, sales unit of the position and the customer group of the customer must match (or the workflow is set to no customer group).

4. Custom Field Scope

If the workflow maps custom fields (on document or customer), the values of the position must match.

5. Start Level & Threshold (Documents)

The start level plus threshold (days) of the workflow determine when a document is triggered:

Troubleshooting: "Why did this position (not) receive a clarification?"

Work through the pipeline in sequence — basic state → topic scope → org scope → custom fields → start level/threshold → auto-prevent → existing/duplicate. The most common causes: The position is today not at the configured level/threshold, it is outside a scope, an auto-prevent amount limit excludes it, or an existing clarification already covers it.
