Clarification Workflows (Automation)
A workflow is the automation template behind clarifications. It is configured in the Clarification module under Clarifications → Workflows and sets the oper…
A workflow can be limited to specific areas, business units, sales units, customer groups (or explicitly without customer group), custom field values and — depending on the topic — difference reasons / document type rules (documents) or deduction types (deductions). Only matching line items are eligible for auto-start. For details, see Auto-Start & Triggering.
Visibility in the Accounts Receivable Cockpit (Pull-Scope)
Regardless of automation, two settings control what a user sees in the Accounts Receivable Cockpit tab of a clearing — that is, which other open documents of the customer are visible (and can be pulled into the clearing).
Pull-Scope ("Limit document information in Accounts Receivable Cockpit"):
| Option | Which open documents of the customer are displayed |
|---|---|
| Show all | All open documents that the user is authorized to see (default). |
| By area | Only documents in the clearing's area. |
| By business unit | Only documents in the clearing's business unit. |
| By team | Only documents of the user's team. |
| By service user | Only documents of the user. |
| Show all (ignore data access) | All open documents — the user's own data access restrictions are bypassed. |
Show only documents of these types further restricts the visible documents to the selected document type rules. This applies only if the pull-scope is not one of the two "Show all" options.
Note: The pull-scope affects only the visibility in the Accounts Receivable Cockpit — it does not change which line items auto-start a clearing (that is controlled by the restriction above).
Clone
An existing workflow can be cloned (including escalation levels and after-effects) to quickly create a similar one and then adjust it.
Good to know
Auto-Start to turn off deletes the pure auto-start settings (editor, reporter, scopes) — when turning it back on, they must be reconfigured.
Escalation levels must have strictly increasing daily thresholds; the system automatically sorts them by threshold.
Deleting a workflow disconnects it from existing clarifications (their history is preserved).
