Grouped Reasons for Clarifications

At a glance

Clarification reasons can now be grouped together in groups with a shared color. The color carries through the entire clarification interface – from the overview through the timeline to the hover cards – providing immediate visual orientation.

What's new

Grouped reasons with central color
Create any number of groups under Clarifications › Settings › Grouped Reasons, each with a name and color. You maintain the color once per group – all assigned reasons automatically inherit it.

Color coding everywhere
Assigned reasons appear consistently in their group color: in the reasons and clarifications overview, in the response timeline, in hover cards, the sidebar, and response forms.

Tooltip with Group Name
Each colored background displays the name of its group when you hover over it – color and meaning remain clear and consistent.

New Filters & Column
Filter clarifications and reasons specifically by grouped reasons. In the reasons overview, you can also display the Grouped Reasons column.

Permanently Consistent
Once provided answers retain their color and group assignment – even if a reason is later assigned to a different group or renamed.

How to Get Started

Create your first group under Clarifications › Settings › Grouped Reasons and assign your main reasons. You can find a step-by-step guide in the Help Center: Grouped Reasons.

Only main reasons can be assigned to a group; optional additional reasons remain neutral.

Revised representative arrangement with automatic expiration date

We have revised the settings for the representative arrangement and consolidated them on a single, clear page:

Your advantage: Start your vacation worry-free! Representations for your teams (e.g., accounts receivable or sales) can be set up in seconds. Most importantly, the new expiration date closes a common security gap: access rights no longer remain accidentally active for months because you forgot to manually remove the representation after returning. The system withdraws access automatically after the deadline expires.

New column "Customer Balance" in the document overview

We've expanded the document overview with valuable information: you now have access to a new column "Customer Balance" available to you.

Your benefit: Fewer clicks, faster reconciliation! If you review dozens of transactions or clarification cases daily, you often lose time switching back and forth between document and customer profile. With the customer balance directly in the document overview, you can see at a glance how the customer account stands overall. This significantly accelerates the verification, assignment, and reconciliation of incoming payments.

Full-text descriptions in the filter for difference reasons

We've made the dropdown menu of the "Difference Reason" filter clearer: from now on, the complete description is displayed alongside the respective abbreviation.

Your benefit: No more memorizing or looking up abbreviations! From now on, users no longer need to know exactly what each internal abbreviation stands for to set the appropriate filter. This saves valuable time when filtering transactions or clarification cases and prevents incorrect decisions – especially for new team members.

Table Configuration in Interface Templates

We are expanding the Interface Templates framework: Starting now, administrators can define global default table views for index pages under Company Settings > Interface Templates in the new "Table Configuration" card.

Your advantage: No more manual setup of individual accounts! Administrators can centrally define the optimal list view for entire teams or roles. Whether sales, accounting, or risk management – all employees in a role work from day one with a unified, perfectly structured data view.

Tag input fields now empty automatically

Adding multiple values in tag selection fields (such as External IDs) is now noticeably smoother: Once you confirm an entry with Enter", the text field is automatically cleared while the cursor remains active in the field. No need to manually delete the old text, so you can capture additional tags in a quick flow Input → Enter → Input → Enter". Since this correction was made directly in the central design component, you now benefit from this smoother typing experience across all forms on the platform.

Add comments to multiple journal entries simultaneously

With a new bulk action in the journal entry list, you can now select multiple documents and add the same comment to them at the same time. The full range of familiar features – including category selection, free text, and file attachments – is available to you. This eliminates the time-consuming, manual repetition of identical notes for related clarification cases or payment flows. Despite the consolidated entry, the customer view remains clear: Multiple assigned comments are intelligently consolidated into a single representative there.

Categorized Topics and Clear Descriptions

Selecting preconfigured reports in the "Add report" dialog is now intuitive and guesswork-free. The 18 standard reports are structured into five clear topic groups: Turnover, Balance & Open Items, Aging & Dunning, Payment Behaviour & KPIs, and Overviews. All report names have been thoroughly revised to remove ambiguous or duplicate labels (such as multiple entries for "Turnover" or "DSO"). Furthermore, every entry now displays a brief summary of its content directly in the dropdown, eliminating the need to add a report just to preview its data.

Enhanced Remittance Strategy for Payment QR Codes

Reminders and payment notices can now utilize a new remittance information strategy for generated payment QR codes (EPC / GiroCode). Under this new option, the remittance text dynamically opens with the customer number, followed by the respective invoice numbers. The system fully respects the strict 140-character limit of the EPC standard: the customer number is permanently prioritized, while invoice numbers are populated sequentially up to the length limit without ever truncating mid-number. This ensures incoming payments carry crystal-clear reference data, improving automatic matching rates and eliminating manual research.

Risk

Coface ICON URBA360 reports now available as PDF

What's new? For all Coface ICON integration users, there's a practical enhancement: URBA360 reports are now available in addition to the structured data format, also directly as an official PDF document.

Your benefit: No more detours for proof requirements! When you need to archive the complete URBA360 report for audit purposes, forward it to management, or provide it to external partners (such as trade credit insurers), simply download the original PDF. This saves manual request effort and ensures that you always have the complete audit document available.

Modernized View in Risk Management Tab

We have fundamentally modernized the appearance in the Risk Management section. Outdated placeholders and inconsistent empty states in the Risk Management Tab as well as in the Sidebar have been replaced with a consistent, modern design:

Your Benefit: No more confusing empty areas! Especially when creating new customer accounts or working with incomplete data sets, the Risk section previously seemed inconsistent in places. The new design now guides you and your team intuitively through the interface: You can see at a glance which risk data is available – and where you can add new documents, inquiries, or limits with just one click.

Configurable Default Visibility for Credit Application Templates

We have made the configuration of templates for credit applications (Credit Limit Application Templates) more flexible: From now on, you will find a new toggle in the settings: "Show by default in credit limit suggestions".

Your advantage: No more unnecessary screen clutter! Every team works differently: While some departments need to see the request details in every single proposal immediately, others prefer a clean view to focus on the key figures first. From now on, you decide yourself how the system reacts – this creates a leaner interface and less distraction in everyday work.

Credit limit conditions in the approval process

Decision conditions are now seamlessly captured in the system and made visible everywhere. Approvers can now check a box at the approval step for "Add as condition" directly next to the comment field.

Your advantage: No more forgotten conditions or media breaks! Previously, conditions for credit limits (such as "Only with payment guarantee" or "Valid until submission of balance sheet") were often documented outside of Bilendo or got lost in free text. Now conditions are directly anchored in the system during the approval step and accompany the credit limit wherever decisions are made – including official PDF export.

Redesign of the credit insurance view

Your advantage: No more confusion about pending decisions! By hiding provisional amounts, you prevent misunderstandings in your team about whether coverage has already been approved by the insurance company. Plus, you save clicks during detailed review and can resolve cancellable coverages directly on the spot – without detours or workarounds.

Calculation log directly in risk alerts

We have significantly expanded the detail view of risk alerts for "Deterioration of risk class" (Negative risk class change) and "Change in internal score" (Internal score change):

Your advantage: No more tedious searching for causes! A changed score is only helpful if you immediately understand why it changed. With the direct log comparison in the alert, you no longer have to leave the view or navigate separately to the calculation log. You immediately recognize which factor (e.g., deteriorated payment behavior or new financial metrics) made the difference – for faster and more informed risk decisions.

Status for credit coverages on the overview page

The overview for credit facilities now shows not only the validity status (Active/Expired) but also directly displays the actual decision status of the facility. This means the overview page and the cockpit are now completely synchronized and provide consistent data. For teams using the scoring & risk module, there's no more guessing: you can see at a glance exactly which facilities are actually in force and where decisions are still pending.

Creditsafe Search by Specific Identification Numbers

The Creditsafe information dialog has been expanded with the new search type "Identification Number". In addition to the traditional search using master data (such as name or address), you can now search for companies directly using country-specific identifiers. After selecting the appropriate country, you have access to the respective local ID types (e.g., trade register number or tax number). This enables exact, reliable assignment of the correct Creditsafe record without time-consuming searching through similar company names.

Custom Additional Fields in the Risk Management Tab

The Risk Management tab has been expanded with the new card "Additional Information". Through the "Add Fields" dialog, risk managers can now flexibly add and edit individual free-text fields (text/string format). Each added field is displayed as its own heading and permanently stores entered notes, risk assessments, or internal references. This eliminates the need for external documentation outside of Bilendo and consolidates all individual risk contexts in one central location, allowing them to be reused, for example, directly in credit limit requests.

Unified Risk View in Credit Limit Proposals

The credit limit proposals overview now uses the same proven risk management cards as the Risk Management tab. To ensure maximum flexibility, the cards for the limit proposal can be configured completely independently of the main view. As part of this standardization, redundant tabs (Risk Alerts, Limit, Calculation Protocol and Balance Sheet Analysis) have been removed. The remaining tab structure has been streamlined for clarity: Overview, Orders, Payment Behavior, Score, Revenue and Custom Fields. This harmonization completely resolves previous inconsistencies between the views and enables teams to request credit confirmations and inquiries directly from the limit proposals overview.

Real-Time Notifications for New Customer Status Changes

Stay instantly informed with the new "Status Update New Customer" notification setting, available both in-app and via email with flexible delivery frequencies (e.g., Instantly or Daily). Creating a new customer now automatically subscribes you to that profile, sending timely alerts as it moves through lifecycle stages such as Matched, Open, or Declined. Users can also manually manage subscriptions directly from the new customer index page, offering the exact same intuitive workflow as the main customer directory.

Filter Scoring & Risk Pages by Customer Custom Fields

The five core scoring and risk index pages—Credit Informations, Credit Limits, Credit Limit Suggestions, Risk Alerts, and Credit Securities—can now be filtered using the customer's filterable custom fields (Mapped & Date Custom Fields). This functionality mirror the established behavior and field subsets available on the customer and reminder index pages. By bringing custom field filters to risk management views, teams can now seamlessly analyze and segment risk data according to their organization-specific criteria.

Automatic PDF Matching for Atradius Credit Cover

Atradius PDFs received in a central inbox are now matched and attached automatically. Using key reference data—such as policy number, company ID, or customer ID—the system instantly identifies and links incoming documents directly to the corresponding Credit Cover, completely eliminating manual searches. In edge cases where automatic matching cannot take place—such as an unsolicited credit limit reduction issued by Atradius with an accompanying PDF—users can easily assign the document manually to the correct Credit Cover. This feature is currently in a pilot phase with Seidensticker, with a full rollout scheduled following validation.
