Documents Webhook Update

We have updated the layout of the documents webhook export to include the fiscal year.

New Feature: Automatic Deletion of Outdated Customer Letter Drafts

What is changing?
Any draft that is older than 30 days will be automatically deleted. To ensure that users are not caught off guard, a warning message appears when drafts reach the 25-day limit, providing a 5-day advance notice.

New Feature: Email Replies to Reminders and Customer Letters

We're excited to introduce a highly requested feature: the ability to automatically capture customer email replies directly in Bilendo and link them to the sent reminder or customer letter!

Why This Matters

• No Context Switching: Collections management and accounting teams no longer need to search through shared mailboxes for customer responses.

• Single Source of Truth: Replies are linked directly to the sent reminder or customer letter, so anyone accessing a customer account gets immediate visibility.

Important: Bilendo will not become a full email inbox. This feature is for reading incoming replies only. Users cannot compose or send new replies to customers from the Bilendo interface.

How It Works & Implementation Notes

• Connection: Uses standard IMAP credentials (currently plain authentication; OAuth coming in the coming weeks!).

• Matching Modes: Uses header matching (default) or body matching (if the customer doesn't have sent folder access).

• Synchronization: Synchronization starts only after successful setup. Historical emails received before configuration will not be retroactively retrieved.

• Visualization: Replies are indicated by an icon on the document and open in a detailed modal.
